For bookings or other inquiries you can simply contact us via e-mail or phone call. The contract can then be made personally or remotely with Media Lab.

An invoice will be issued as a PDF file by email with the sales tax shown at the start of the contract. An invoice by mail is possible for an extra charge. The start of the contract can be agreed on the 1st or 15th of each month.

All invoice amounts from the Virtual Office package are due on the 1st working day of the respective month. It is therefore a prepaid service. Most of our users create a standing order on the 3rd of the month, as the amount is constant.

Special agreements such as forwarding or opening/scanning of the post or costs from the telephone use (minute-exact itemised bills, attached as PDF) are charged separately at the end of the month.

The term for all services is one month. The contract may be terminated by either party by giving 10 days’ notice to the end of each month.

The cancellation must be made in writing (at least by e-mail). The right to an extraordinary termination for important reasons remains unaffected. The contract is automatically extended by a further month if no notice is received or not received in time. Optional services can also be booked or cancelled monthly.

If the collection of letters, packages or parcels is suspended by the user or payment is delayed, the items will be stored for a maximum of one year and then destroyed.

The Virtual Office takes about 15 minutes to set up. If a telephone forwarding is booked, it will take approx. another 30 minutes. A very short start is therefore possible at any time (after conclusion of the contract).

The contract conclusion of a Virtual Office package normally takes place personally at Media Lab. Alternatively, the contract can also be concluded remotely. In order to verify your identity, we have to carry out a video chat. In addition to the signed Virtual Office contract, we require a copy of the original identity card/passport as well as the business registration.

Yes, this is optionally possible and can also be booked at any time after conclusion of the contract. The company sticker is attached to the Media Lab entrance door and has the format 10×15 cm. The production costs for the sticker amount to 35,- €.

Access to the mailbox is normally possible during the regular working hours of Media Lab, which are from Monday to Friday from 9am – 5pm. Exceptions are public holidays and company holidays (24. December to 06. January). Access during regular opening hours by arrangement. In the best case, Virtual Office users should contact Virtual Office by e-mail or telephone in order not to stand in front of a locked door in the worst case of an unexpected understaffing or absence due to business appointments.

The mail must be collected at least once a month, unless there is a separate personal agreement. Optionally, a redirection to a desired address can also be made after consultation and with surcharge, at an agreed rhythm.

The postal address may not be used for unlawful or immoral purposes and, in particular, there may be no violation of the German Commercial Code (HGB) or the Unfair Competition Act (UWG).

No, when booking a Virtual Office package you can inform the city that this is already covered by us as the main landlord.

Every Virtual Office customer signs a customer and source protection agreement with us so that we can offer you a trustworthy and secure working environment.

We do everything we can to make your mail as safe as possible. So far we haven’t had any lost mail to complain about. In the unlikely event of a loss, we can use our security cameras to determine if anything has been stolen. The cameras activate after work and record activities at the windows and doors.

We can also read the logs from our locking system.
